Emergency call handling

Not every urgent call is an emergency, and the phone has to know the difference.

A door that reverses a foot off the floor and a door hanging in its tracks arrive on the same line, in the same tone of voice, often in the same ten minutes. One is your smallest job. The other is a house nobody can lock tonight. GarageLine AI sorts them while the caller is still on the phone, and tells the caller what to do in the meantime, which is almost always nothing.

Three questions decide whether a truck moves tonight.

Urgency in this trade does not split on how upset the caller sounds. It splits on three things, and all three get asked on every call, including the ones that open sounding routine.

Is a vehicle or a person shut in?

A car behind a door that will not lift is somebody's whole morning, their shift, their school run. A person shut in is worse, and it is asked on every call, not only the ones that sound frantic.

Is the building standing open?

A door stuck open is a house or a shop nobody can lock. The part may be small and the fix may be quick. It is still a night visit, because the alternative is leaving somebody's garage open until Tuesday.

Is a business unable to ship?

A rolling steel door down at a dock stops the trucks. The clock on that one runs in payroll, and it does not care that the call came in at ten past six.

Everything else is schedulable. A noisy door, a slow door, worn rollers, an annual service, a quote on a new door: all real work, none of it tonight. Booking those as emergencies is how a Saturday gets spent on jobs that would have waited happily until Thursday.

What the caller says, and what happens next.

Callers describe symptoms, not parts. Nobody rings up to report a failed torsion spring. They say it made a noise, or it will not go up, or it goes down and comes back. The middle column is the translation, and it decides the third.

The first row is the one that pays for the rest. A door that starts down and reverses is the highest-frequency, lowest-ticket call in the trade, and it is constantly dispatched as an emergency spring call. Separating a sensor fault from a spring fault before the truck leaves saves the roll and puts the right part on the van for the address that genuinely needs one.

The one that hurts people

A snapped spring with the door up is the worst call on the board.

The springs carry the weight of the door. When one lets go with the door open, the opener is holding an unsupported door on a plastic gear and a length of chain, and it was never designed to hold anything. Whatever is parked under that opening is parked under a door held up by the wrong thing.

So the call stops the three things people do next. It does not send anyone to the release cord. It does not have them walk through the opening to take a look. It does not have them run the opener again to see whether it will come down. It takes the name, the number, the address and the door position, puts the job at the front of the day, and alerts you before the caller has put the phone down.

Four things it will not say, on any call, at any hour.

These are not settings. A receptionist that answers for a dentist in the morning and a plumber in the afternoon has no reason to know any of them.

It never puts a caller's hands on a spring.

No adjusting, no winding, no unwinding, no releasing, nothing loosened anywhere on the spring assembly. A torsion spring holds the weight of the door in a wound steel coil, and the trade has bars, a count and a procedure for that reason. It is not something to talk a homeowner through on a phone.

It never says to pull the red release cord.

Not on a door that is open, and not on a door where a spring may be broken. It is the most common piece of well-meant phone advice in this trade and the one most likely to put a door on the floor with somebody underneath it.

It never gives a firm final price sight-unseen.

It quotes the range you publish for the failure it can identify, and says plainly what still needs a technician's eyes on it. A published range is expected and reassuring. A guaranteed number for a door nobody has looked at is where this trade's worst disputes start.

It never tells anyone to keep operating it.

Not a door hanging off its track, not a door with a visible broken cable, and never by defeating the photo eyes to force a door closed. The instruction is always to stop, and the visit is the answer.

You get the emergency, not the whole night's messages.

An emergency alerts your phone while the caller is still talking. A keypad that stopped working at nine at night does not. That split is the entire point of triage: your on-call hours go to the calls that earn them.

One setting decides how far it goes on its own: book the visit outright, hold it for your one-tap approval, or take the details and leave the booking to you. Routine calls land on the calendar and wait for the morning.

A dock door down is payroll, not a repair bill.

On a residential call the number in the customer's head is the invoice. On a commercial one it is the hour: a crew standing at a dock, trailers waiting on the apron, and a load that has to go out today. The repair is the small figure in that conversation.

Which is why a rolling steel service door stuck down cannot be triaged with residential rules, and cannot sit in a queue behind a remote that stopped pairing. It runs in its own lane, and the call captures what a commercial dispatch actually needs.

Captured on a commercial call

  • Door type: rolling steel service door, counter door, sectional dock door, high-speed door, security grille, fire-rated rolling door.
  • Which opening, by dock or bay number, because a site has fourteen of them and they are not interchangeable.
  • Whether the opening can be secured overnight, or whether the building is open until it is fixed.
  • The site contact who will actually be there, and how a technician gets on site after the shift has gone home.
  • Shift times, so a repair does not get booked into the hour the trailers are turning.
  • Who signs the work, so the truck is not standing at a gate waiting on an approval.

And the reverse case, so it never lands in the emergency lane: rolling steel fire doors carry an annual drop test under NFPA 80. That is recurring, planned, schedulable work on a building's calendar, and it books as planned work.

The questions that come up at eleven at night.

What actually counts as a garage door emergency?

Three things: a vehicle or a person shut in, a building left standing open, or a business that cannot ship. Everything else is real work and none of it is tonight: a noisy door, a slow door, worn rollers, a tune-up, a quote on a new door.

What happens when a spring breaks with the door open?

It goes to the front of the board and the owner is alerted before the caller has put the phone down. The caller is told to keep everyone out from under the opening, not to park under it, and not to run the opener again. Nothing else is asked of them.

Will it tell my customer to pull the emergency release?

No. Not on an open door and not on a door where a spring may be broken. That rule is wired in, not a setting somebody can switch off on a busy night.

Does it quote a price on an emergency call?

It quotes the range you publish for the failure it can identify, and says what still needs a technician to look at. This trade prices flat rate and a company that will not name any number reads as the one to avoid. What it never does is guarantee a final figure on a door nobody has seen.

Can it really tell a sensor fault from a spring fault?

That is the fork it is built around. A door that starts down and reverses is almost always the photo eyes. A bang followed by a door that will not lift is a spring. One books as your smallest job, the other rolls a truck, and sending the wrong one costs you either a night or a customer.

What about commercial doors after hours?
